Communication Agreement and Privacy Policy

At VFR Wellness, we are committed to protecting your privacy and maintaining the confidentiality of your personal information. This policy explains how we collect, use, and safeguard your information across our communication methods, including text messaging (SMS), phone calls, email, and fax.

Information We Collect

We may collect the following information when you communicate with us or use our services:

  • Name, phone number, and email address
  • Appointment and scheduling information
  • Information you provide through forms, phone calls, text messages, email, or fax
  • Any other information you voluntarily provide such as mental health and medical information.

How We Use Your Information

We use your information to:

  • Schedule, confirm, and remind you of appointments
  • Communicate about services, inquiries, or care coordination
  • Send administrative updates or important information related to services
  • Respond to messages or requests

We do not use any communication method for emergency services. If you are experiencing an emergency, call 911; call the crises hotline at 988, or go to the nearest emergency room.

Communication Methods & Risks

SMS (Text Messaging)

    • Used for scheduling, reminders, and limited service-related communication
    • Message frequency may vary
    • Message and data rates may apply
    • Reply STOP to opt out at any time

Phone Calls

    • Used for direct communication regarding services, scheduling, and follow-up
    • Calls may be returned based on availability and are not monitored 24/7

Email

    • Used for communication, scheduling, and sharing general information
    • Email is not always secure; sensitive information should be limited

Fax

    • Used for transmitting documents when appropriate
    • While more secure than some digital methods, misdirected faxes can occur

Consent to Communicate

By providing your contact information, you consent to be contacted via:

  • SMS (text message)
  • Phone calls (including voicemail)
  • Email
  • Fax (if applicable)

Consent is not a condition of receiving services, and you may withdraw consent at any time.

Opting Out

You may opt out of communications at any time:

  • SMS: Reply STOP
  • Email: Request no further emails with a reply email
  • Phone: Request no further calls
  • Fax: Notify us to remove your number

We will honor opt-out requests as soon as reasonably possible.

Data Sharing and Security

  • We do not sell or rent your personal information
  • We may use secure third-party providers (e.g., communication platforms, scheduling systems) to facilitate services. These platforms have business agreements with VFR Wellness, PLLC to ensure HIPPA compliance.
  • We take reasonable administrative, technical, and physical safeguards to protect your information

HIPAA and Confidentiality

As a healthcare provider, we take confidentiality seriously and comply with applicable privacy laws. In regards to HIPPA compliance and optimal security

  • SMS and standard email are not fully HIPPA compliance and are not secure and not confidential forms of communication.
  • Phone and fax communications also carry some level of risk

By using these forms of communication, you are providing consent to use that specific form of communication and the risks associated with it being not secure and not confidential. We encourage limiting sensitive or detailed personal health information when using these communication methods unless otherwise arranged.

  • Access your information
  • Request corrections
  • Request deletion where applicable
  • Withdraw consent for communications
